Project Coordinator (Epiphany) - Leeds

We’re looking for a project coordinator to join our growing projects team in our busy creative Studio. Projects at Epiphany vary from web development retainers, SEO focussed creative projects to large-scale technical web development builds.

About the role
The ideal candidate would be a highly-organised, tech-savvy professional with an understanding of all things Digital. Previous experience of managing web development and/or creative projects is ideal. You will need to be able to deliver multiple small projects within time and budget constraints. We’re looking for someone who can come in and hit the ground running and support us with our pipeline of digital projects.

Key responsibilities
You’ll be required to assist with the following tasks:

  • Management of the resource planner and other requests coming from other areas of the business
  • Management of the CR system
  • Updating project process documentation when required
  • Populating Azure DevOps with project requirements
  • Pulling together basic contracts and specifications for projects (not limited to their own projects)
  • Helping with travel and meeting arrangements if required
  • Note-taking in bigger workshops or meetings where the PM is actively involved and therefore unable to take their own
  • Shadowing the other PMs in the team
  • Manage smaller retainers with some small projects;
  • Retainer responsibilities
  • Ensure the client is kept up to date with all work requests
  • Communications to clients should be within 24hrs of the request
  • Keep on top of billings and provide the breakdown to the client each month
  • Update internal billings document monthly
  • Produce an agenda, take notes in each meeting and keep on top of the action log
  • Ensure CR’s and Resource Planner is up to date with planned work
  • Report on all retainer status’ to Maddie as part of the 121 weekly catch ups
  • Smaller web development project responsibilities
  • Manage project scope and changes
  • Meet with internal teams and provide updates on project status each week
  • Provide detailed project plan and regular status updates
  • Provide full project documentation (varies on size of project)
  • Manage project recognition monthly
  • Plan and arrange project meetings on each project build (where the size and scope warrants this)
  • Deliver all projects on time and to budget, flag where this is not possible
  • Report on all project status’ to Maddie as part of the 121 weekly catch ups
  • Flag any issues and risks on projects at the earliest opportunity
  • Facilitate and lead key project meetings (with support from production)
  • Smaller creative project responsibilities
  • Managing project scope, briefings, resource and change requests
  • Working closely with the Creative Directors and other teams across the business to implement our interactive framework with our production teams
  • Providing a detailed project plan if the project size warrants this
  • Managing project financials and departmental cross-charges
  • Keeping client services up to date with project status and risks
  • Delivering the project on time and to budget, reporting on all project status’ and flagging where this is not possible to the Head of Project Management


Skills needed:


  • Strong communication (verbal and written)
  • Ability to lead production teams of all abilities
  • Remaining calm under pressure
  • Maintaining organisation of all projects in set structure
  • Working independently with clear leadership skills
  • Being proactive & motivating internal production teams


  • Digital agency experience
  • A minimum of 1 year project or account management experience
  • Technical competency
